MailSprout vs. Microsoft 365: which is right for your team?

MailSprout is custom-domain email at one flat rate. Microsoft 365 Business Basic is custom-domain email plus Outlook on the web, Teams, and the Office web apps, priced per seat. The right answer depends on whether your team needs the Office side.

Who should pick what

Pick Microsoft 365 if:

  • Your team uses Word, Excel, or PowerPoint regularly.
  • You need Teams for chat and video meetings.
  • You have customers or vendors who only send .docx and .xlsx files.
  • You already pay for OneDrive or SharePoint.

Pick MailSprout if:

  • You only need real custom-domain email and a reliable inbox.
  • You have multiple domains (or plan to).
  • You want one flat price, no matter how many people join the team.
  • You already have Google Docs, Notion, or another stack for documents.

What it costs at your size

The blank rows are real. MailSprout doesn't include Office apps, Teams, or OneDrive. If those matter to you, the other column is the right answer.

Common questions

Can I keep using Word and Excel without Microsoft 365?+
Yes. Microsoft sells Microsoft 365 Personal and Family plans that include Office apps without business email. Or you can buy Office 2024 as a one-time license. Or use Google Docs, Apple Pages, or LibreOffice for free. The Office apps are not coupled to the business email plan.
How long does the migration take?+
For one user with a few years of mail, plan on a couple of hours of background sync. Our step-by-step guide walks you through enabling mail export on the Microsoft side, copying your old inbox across, and verifying nothing was missed.
What about Teams?+
MailSprout doesn't replace Teams. If your company runs on Teams meetings, channel chat, or screen-share, keep a Microsoft 365 seat for that. Plenty of MailSprout customers do the email side here and keep one Microsoft seat for Teams. That math still works out cheaper than buying Business Basic for the whole staff.
Does MailSprout work with the Outlook mobile app?+
Yes. Open Outlook, tap Add account, pick Other, and paste the settings we hand you. Outlook configures itself in under a minute.
What happens to my old @mybiz.com email if I switch?+
Nothing, as long as you migrate first. You move every message over before you change DNS, so you don't lose any history. New mail to the old address starts landing in MailSprout once DNS updates (usually within an hour).
