MailSprout vs. Zoho Mail: which is right for your business?

MailSprout is custom-domain business email that lets you create unlimited email accounts across all of your domains for one flat monthly price, with no per-user charges.

Zoho Mail has a free tier that covers up to 5 users on a single domain. If you're past that, or you have more than one domain to manage, you're on a per-seat plan. This page lays out when each option makes sense.

Who should pick what

Pick Zoho Mail if:

  • You have one domain and fewer than 5 people who need email (the free tier covers this exactly).
  • Your team already uses Zoho CRM, Books, or Docs and wants one ecosystem.
  • You need Zoho's enterprise compliance features (SOC 2 is on paid plans).

Pick MailSprout if:

  • You've grown past 5 users or 5 GB per account and don't want per-seat bills.
  • You have more than one domain. MailSprout covers every domain for the same flat price.
  • You want unlimited email accounts regardless of how many people join your team.
  • You want a 30-second QR-code setup for each new account, instead of manually entering server settings.

What it costs past the free tier

Zoho Mail's paid plans use per-user monthly pricing. Adjust the seat count to see how that compares to MailSprout's flat rate. (Zoho offers several paid tiers; this uses their entry-level paid plan price as a reference. Verify current pricing at zoho.com/mail.)

Common questions

When is Zoho Mail's free tier the right call?+
Zoho's free plan covers one domain, up to 5 users, and 5 GB of storage per user. If you have one domain, fewer than 5 people who need email, and you're fine with a 5 GB per-account cap, it's a legitimate option. MailSprout is the better fit once you add a second domain, need more than 5 accounts, or want unlimited accounts without tracking which ones count toward a cap.
Does MailSprout work with the Zoho Mail mobile app?+
Not directly, because the Zoho Mail app is built for Zoho-hosted accounts. Your MailSprout inbox works in Apple Mail, Gmail, Outlook, or any standard email app. For iPhone users, scanning the QR code we provide installs the Apple Mail profile in under 30 seconds. For Android, Outlook, or Thunderbird, we give you the server settings with a one-tap copy.
What about Zoho's other apps (CRM, Docs, etc.)?+
MailSprout is email only. If your team runs on Zoho CRM, Zoho Books, or Zoho Docs, those continue working regardless of which email host you use. Email is separate from the CRM layer. You can keep every Zoho app and just switch the email hosting to MailSprout.
How long does it take to migrate from Zoho Mail?+
For one user with a year or two of mail, plan on an hour or two of background sync. We have a step-by-step guide that walks you through using imapsync's free web app to copy everything across. Your domain stays at the same registrar; you only update a handful of DNS settings to point email delivery to MailSprout.
Can I keep my domain at my registrar and use MailSprout?+
Yes. Your domain stays exactly where it is. You update a few DNS settings in your registrar's panel to point email to MailSprout. Our setup wizard detects which DNS host you're using and walks you through exactly which settings to copy and where to find them. Same process Google Workspace and Microsoft 365 use.
